Google Drive

Creating new files

Google Drive gives you access to a suite of tools that allows you to create and edit a variety of files, includingdocumentsspreadsheets, and presentations. There are five types of files you can create on Google Drive:
  •  Documents: For composing letters, flyers, essays, and other text-based files (similar to Microsoft Word documents)
  •  Spreadsheets: For storing and organizing information (similar to Microsoft Excel workbooks)
  •  Presentations: For creating slideshows (similar to Microsoft PowerPoint presentations)
  •  Forms: For collecting and organizing data
  •  Drawings: For creating simple vector graphics or diagrams
The process for creating new files is the same for all file types. Watch the video below to learn more:

To create a new file:

  1. From Google Drive, locate and select the New button, then choose the type of file you want to create. In our example, we'll select Google Docs to create a new document.

  1. Your new file will appear in a new tab on your browser. Locate and select Untitled document in the upper-left corner.

  2. The Rename dialog box will appear. Type a name for your file, then click OK.

  3. Your file will be renamed. You can access the file at any time from your Google Drive, where it will be savedautomatically. Simply double-click to open the file again.

You may notice that there is no Save button for your files. This is because Google Drive uses autosave, which automatically and immediately saves your files as you edit them.

Uploading files to Google Drive

Google Drive gives you 15 gigabytes (15GB) of free storage space to upload files from your computer and storethem in the cloud. There are two main types of files you can store on your Google Drive:
  • Files you can edit, like Microsoft Office files, PDFs, and other text-based files
  • Files you cannot edit, like music, videos, compressed archives (.zip files), and most other files
Once you upload a file—no matter what type of file it is—you'll be able to manageorganizeshare, and access it from anywhere. And because the files on Google Drive are synced across your devices, you'll always see the most recent version of a file.
You can also preview many different file types, even if you don't have the software required for that file on your computer. For example, you can use Google Drive to preview a Photoshop file, even if Photoshop is not installed on your current computer.

Converting files to Google Drive formats

If you are uploading files you plan to edit online, you will need to convert them to Google Drive format. Converting allows you to edit a file and collaborate with others easily. Only certain file types—like MS Office files and PDF documents—can be converted to Google Drive formats.
Unfortunately, this conversion isn't always perfect. Depending on the level of formatting used in the original document, the converted document could turn out looking quite different, as shown in the example below.

Conversion changes aren't always just cosmetic—you may even lose information from the original file. You should always review a file that's been converted before sharing it with others. Remember, you always have the option to store your files in their original file format if you'd prefer not to edit files online.

Downloading and printing files from Google Drive

Once you've created a file, it will be accessible whenever you sign in to Google Drive. However, there may be times when you want to download or print a file for offline access.

To download a file:

  1. Locate and right-click the file you want to download, then select Download.

  2. The file will be downloaded to your computer.

To choose a file format:

By default, Google Drive will choose the most common file format whenever you download a file. For example, if you download a Google Document, it will automatically be saved as a .docx file, which is used by Microsoft Word and most other word processors. However, there may be times when you want to choose a different format, such as PDF.
  1. Double-click the desired file to open it.

  2. The file will appear in a new tab. Select Fileright-arrowDownload as, then choose the desired file type. In this example, we'll choose PDF Document (.pdf).

  3. The file will be downloaded to your computer in the desired file type.

To print a file:

  1. Double-click the desired file to open it.
  2. Select Fileright-arrowPrint.

  3. The Print dialog box will appear, along with a preview of your file on the right. Choose the desired options, then click Print.

Note that these options will vary depending on the type of file you're printing. For example, you'll have different options for printing a spreadsheet than you would for printing a presentation.



OneDrive and Office Online


Create and Share Office Documents


Introduction

Whether you're working at home or the office, OneDrive makes it easy tocreate new documents and share your files. You can even collaborate on a document with others. 
In this lesson, you'll learn how to create documents and folders. We'll also talk about how to share your files with different groups of people, as well as the various collaboration tools available in Office Online.

Types of Office documents

Office Online allows you to create several types of documents, including:
  • Word documents 
  • Excel workbooks 
  • PowerPoint presentations 
  • OneNote notebooks 

To create a new Office document:

In this example, we will create a Word document.
  1. Click the Create button, then select the desired document type from the drop-down menu.

  2. Your document will be created and opened.

To create a new folder:

  1. Click the Create button, then select Folder from the drop-down menu.

  2. Enter a name for the new folder, then click Create.

  3. Your folder will be created. Click the folder to open it.

  4. You can create new documents inside the folder by following the same steps as above. Just click the Create button, then select the type of document you wish to create.

Session Plan for Tues: February 9th

1. Using Google Maps for Directions.
    Printing Maps and reviewing Options.

2. Using Windows 10 Maps and Navigation.
    Travel down your street.

3. Checking the status of your Windows 10 Updates. (This is so Important).
   1. Click on "Settings" on the Task Bar.
   2. Click on "Updates".
   3. Let in complete Downloads and Installations.
   4. Restart the Computer.
   5. When completely updated your Update page will say:

1. Installing the Scan App from the M/S Store on your Laptop. (If you want Scan at the Senior Center) 
    E-mail me back that you want to do this so I can make a Plan for doing it. 
2. Demonstration of a Laptop to Printer Scan with a wired setup. (Maybe!!)
3. How to check your Default Browser setting to be Chrome and not 
    MS Edge with Bing.
4. Searching for Solutions with Google Chrome.
5. Using Maps for Directions.
6. Checking the status of your Windows 10 Updates.


Session Plan for Tues: Jan 26th
1. Installing the SC 8620 HP printer on your Laptop. (If you want to print at the  
    Senior Center) 
2. Reviewing the Settings for Printing.
3. How to check your Default Browser setting to be Chrome and not MS Edge 
    with Bing.
4. Searching for Solutions with Google Chrome.
5. Using Maps for Directions.

Bring your questions on any topic so everyone will be able to learn about it too.

1. Screen Casting to the TV with your Laptop. 
2. Screen Casting to the TV with Smartphones.
3. YouTube searching for Videos for Casting.
4. Review process of making a YouTube "Playlist".

Bring your questions on this topic so everyone will be able to "Cast to the TV" next week.

Updating Windows 10 for members with problem below.


During the meeting last week we discovered that a few members need the Microsoft upgrade for Windows 10 that did not have update on their computer yet. Bring you computer early next Tuesday and it can be updated by DVD ISO during the meeting.

Do this to check your status:
Right click your mouse on the Small Window in the lower left corner of the screen. If the drop box list has a "White" background and "Black" letters it is not updated. A Black background and "White" letters is updated



Session Plan: Jan 12th
1. Screen Casting to the TV with your Laptops and Smartphones.

    See attached procedure to fix the casting from your computer to the TV. 
   Do this at home so you are ready to cast to the TV next Tuesday

2. YouTube searching for other than Music Videos and Casting them.




Session Plan: Jan 5th
December 29th Service Laptops
During the meeting last week we discovered that Microsoft issued a very large download upgrade for Windows 10 that may not have updated on your computer yet. Your computer may be running slow trying to do this.

Right click your mouse on the Small Window in the lower left corner of the screen. If the drop box list has a "White" background and "Black" letters it is not updated.

Do this:
1. Restart your computer.
2. Leave it on Overnight.
3. Restart it and see if it updated.
4. If not continue doing this each day until next Tuesday.
5. If still not updated, come on Tuesday for the solution.

2. YouTube searching for other than Music Videos.
3. Updating Windows 10 for members with problems.
